SAP S/4HANA Implementation at Rosenberger – Information for our Customers

 

Rosenberger is modernizing its ERP (Enterprise Resource Planning) system and will switch to SAP S/4HANA on January 1, 2026. This affects the German locations in Fridolfing, Mühldorf, and Radeberg, as well as the plants in Nyírbátor and Jászárokszállás in Hungary.

With this strategic transformation, we are sustainably improving our internal processes – with the goal of making our collaboration with our customers and suppliers even more efficient, transparent, and future-proof.

 

SAP S/4HANA

SAP S/4HANA is SAP's latest ERP solution, based on the innovative in-memory database SAP HANA. It was developed to help companies manage their business processes in real time and meet the increasing demands of the digital world.

 

What does that mean for our customers?

Together with the introduction of the new system some organizational changes are coming along that will also impact our joint business processes – for example, in order processing, communication, or document exchange.

What is changing?

  • Implementation of direct shipping from production sites
    In order to further optimize our logistics processes and shorten delivery times, we will transition to direct shipping from our production sites in Radeberg, Fridolfing (Logistics Center Mühldorf), Nyírbátor, and Jászárokszállás. Rosenberger will provide you with an overview of the respective shipping locations.
     
  • Updated contact information for shipping locations
    When the designated shipping location is determined, order processing will also be handled by the respective production sites. You will receive a list of relevant contacts, including addresses for the respective locations if applicable.
     
  • Introduction of new customer numbers
    When switching to SAP S/4HANA, each customer receives a new customer number as a business partner with a unique legal entity. You will receive information about this from Rosenberger.
     
  • Expanded use of EDI functionality and integration
    In order to increase efficiency, process reliability, and data quality in order processing, we are further expanding and optimizing our use of EDI functionality. Our aim is to process all series orders via EDI, ensuring benefits for both parties.
     
  • Standardization of packaging quantities, sales units, and minimum order quantities
    We are aligning our ordering and delivery processes with SAP S/4HANA requirements and the new ordering structure. In future, fixed standard packaging quantities (SPQ), sales units (SU), and minimum order quantities (MOQ) will be implemented. This measure will help optimize our warehouse and logistics processes, stabilize delivery times, and increase transparency throughout the entire supply chain.
     
  • Adjustment of recipient addresses for e-mail invoices
    We are simplifying the email invoicing process. In future, electronic invoices will be sent exclusively to one single, designated email address per customer.
     
  • Switch to English as the standard language for system-generated business documents
    Due to our international customer and supplier structure and to streamline administrative processes, all business documents and labels will be issued exclusively in English.
     
  • Standardization of delivery terms
    We are changing the previous Incoterm FCA delivery condition with freight charges preferably to FCA without freight charges.
     
  • Transition phase, including official company shutdown from December 22, 2025, through January 6, 2026, with simultaneous system changeover
    Since no deliveries can be made during this period and in order to ensure a seamless supply of parts, requirements must be planned in advance and orders placed with sufficient lead time. The objective is to complete all necessary deliveries before the cutover begins.

What changes will there be in the business process with regard to business documents?

As part of the introduction of SAP S/4HANA, Rosenberger is converting its business documents to the SAP standard layout. The content of the documents remains unchanged and continues to correspond to the information previously provided. Furthermore, all business documents will be issued exclusively in English in the future.

Can minimum order quantities and packaging units be agreed individually?

Standard packaging quantities are specified globally by Rosenberger. Minimum order quantities can be specified on a customer-specific basis.

How will it be possible to determine whether the material needs to be collected in Hungary or Germany in the future?

Rosenberger provides a list of the respective items, which includes both current and future shipping locations.

Where will invoices be issued in future?

Invoicing for goods from Germany and Hungary will continue to be carried out from Germany.

When is the actual date for the final shutdown of the existing system?

The new SAP S/4HANA system is scheduled to go live on January 1, 2026. At the same time, the previous system will be taken out of service. However, the data contained therein will remain available as an archive version and can be viewed as needed.

Will there be a shutdown?

The planned shutdown will last two weeks and coincides with the planned annual closure at the end of the year.

If problems arise during the transition, will you still be able to deliver?

The automated warehouse is controlled by standalone software and is therefore fully functional in an emergency, independent of the SAP system. All other materials are stored in conventional warehouses and can be retrieved manually if necessary. To ensure delivery capability, all storage location information is exported and backed up so that parts required in an emergency can be quickly identified and made available.

What are the plans regarding safety stocks?

As part of our planning, the necessary quantities are brought forward to an earlier date and pre-produced accordingly. It is therefore very important for us that you inform us of your requirements at an early stage. This is the only way we can secure the supply chains in advance and guarantee delivery before the start of the company shutdown.

Are there fallback solutions in case of problems?

During the migration phase, both systems will be maintained in parallel to ensure consistent data. The migration of transaction data will only take place during the company shut down. This ensures that both systems have identical data, so that in the event of an emergency, it is possible to fall back on the old system at any time.

Which Rosenberger locations are affected by the SAP implementation?

In this phase, the SAP implementation affects the Rosenberger Germany (Fridolfing, Radeberg) and Rosenberger Hungary (Jászárokszállás, Nyírbátor) sites. For all other sites, there will be no changes to the process until further notice.

Does your company already have experience with SAP implementation?

Rosenberger already has experience with SAP R/3, which is in use at our sites in Jászberény (Hungary) and Monterrey (Mexico). S/4HANA Public Cloud was successfully introduced at our plant in India at the beginning of 2025. The introduction of SAP S/4HANA represents a new step for our German locations in Fridolfing and Radeberg, as well as for the Hungarian plants in Jászarokszállás and Nyírbátor.

What kind of support does SAP provide?

MHP is acting as the implementation partner and is overseeing the entire rollout.  MHP is a system integrator that has already successfully implemented numerous projects in a wide range of industries, including the automotive sector. At the same time, an in-house consulting organization is being set up internally, which will take over operations after the go live.

How many key users are there?

Experience shows that one key user is needed for approximately 20 end users. Rosenberger has chosen a ratio of 1:8 for the introduction. These key users are distributed across all areas.

How is the staff trained?

The training is based on the ‘train-the-trainer’ principle and is conducted both in person and online. All training sessions are recorded and can be accessed at any time. Further information is available on a separate intranet page. The training program has already been launched and is being rolled out step by step.
